Using the Repair Calendar

In order to use the repair calendar, you first need to set it up, including your shop's availability and job classes.  This will allow you to have the proper amount of appointments set up in your system per job class and available estimators.  This will also eliminate any overbooking of appointments based on the job class and appointment times available.

There are two ways to set up repair appointments.  Either as a Shop User in the dashboard or by allowing the client to set their own appointments through the Boost My Estimate (BME).

1. Shop Users

 You can add a new client along with their appointment to the calendar from the dashboard top toolbar :

  1. Click on the Repair calendar icon.  You can do this either through the left menu sidebar or from the top toolbar Calendar icon.
  2. Click on the + Appointment for the day you wish to create the appointment.
  3. Choose the time for the appointment.
  4. Fill in the client details including the Job class, and days to repair.
  5. You also have the option to check the rental car needed.  This will automatically get a rental car arranged with Enterprise or you can choose Other and send the details to another rental company or email address to book the rental. 
  6. Click Save.

This will schedule the appointment while also creating a client profile in the dashboard.

You can also schedule an appointment for an existing client through the calendar icon within their profile.

  1. Click the Calendar icon to the right of the client's profile and choose to add a repair appointment (this will bring you back to the repair calendar)
  2. Enter the client details including the Job class and days to repair.
  3. You also have the option to check the rental car needed.  This will automatically get a rental car arranged with Enterprise or you can choose Other and send the details to another rental company or email address to book the rental. 
  4. Click Save.

Note: You will be able to tell if a client has an appointment booked as the calendar icon within their profile will turn green from blue.  You can also click on the calendar and it will show you any scheduled appointments.  To view the appointments you can click one step further on the appointment listed.

2. Your clients can also book their own Repair Appointments when using the Send Estimate (BME).

If you want to allow your clients to schedule their own repair appointments this can be done through the BME process (sending an estimate to your client).  

Once you click on the Send Estimate icon you will see this screen. 

Here is where you can upload the estimate, add up sales, e-sign forms, and also have the ability to allow the customer to book on your Repair calendar.

Simply check the "Allow to Book Repair Appointment" box and this will enable the calendar for the client to make the appointment.

Once checked, you will be taken to this screen below.

Here you now have up to 4 details to fill in  (1 & 2 are required):

  1. The Job class
  2. The number of days to repair
  3. Days of Lead time (this is optional)
  4. Allow the customer to book a rental car (optional).
  5. Click Save and you will be brought back to the main page to ensure the customer details are correct and to send the estimate.

NEW Days of Lead Time:  Adding a lead time will prevent the customer from booking on the calendar prior to this lead time.  Please note: The lead time starts on the day you are sending the calendar to the customer, so be aware that if you want to avoid someone scheduling for tomorrow you will need to add a 2-day lead time.
